How to batch cocktails for an event

Separate the recipe from the forecast. Scale only what belongs in the batch, show the water calculation, and turn the result into an auditable order.

Start with an explicit forecast

Decide how many servings you are planning across the beverage menu, then allocate a share to each recipe. Do not start by multiplying a cocktail recipe by the guest count and assume that covers the event.

Allocated serves = round up(guests × planned beverage servings per guest × recipe allocation × (1 + contingency)).

Fictional example: 120 × 2.5 × 60% × 1.10 = 198 serves of one recipe. The 2.5 and 10% are editable inventory assumptions, not consumption advice or universal standards.

Separate batch ingredients from finishing ingredients

Record liquid ingredients in milliliters per serving for this example. Keep mass and count ingredients in their own units. In the BEO builder, use the matching unit and choose batch, finish, or garnish. Carbonation and garnish need an explicit handling decision.

The single-recipe calculator's fictional example starts with 45 ml spirit, 20 ml citrus, 15 ml syrup, and 60 ml soda. It defaults citrus and soda to “finish.” That is a planning choice for this fictional recipe, not a claim about storage life. Your approved recipe and food-safety plan control the process.

Taste and measure a test serve at the intended temperature and with the actual finishing method. Confirm yield after the real handling steps. Do not infer preservation or safety from alcohol content, acidity, clarity, or the fact that the recipe has been batched before.

Define what your dilution percentage means

In this example, predilution means water added as a percentage of undiluted batch-eligible liquid. At the example settings, the batch contains 45 + 15 = 60 ml per serve before water. A 20% predilution adds 12 ml water per serve, not 20% of the finished drink.

For 198 serves, 60 × 198 = 11,880 ml undiluted batch. Added water is 11,880 × 0.20 = 2,376 ml. Packed batch volume is 14,256 ml, or 14.256 L. Citrus and soda remain separate finishing quantities, so they do not consume the batch-container capacity in this model.

The calculator does not model additional melt during service. Validate the final drink and avoid counting the same dilution twice. A recipe served over ice may need a different plan from one poured chilled with no further dilution.

Turn volume into containers and orders

Use usable container capacity, not the number printed on the vessel. Allow the headspace, handling method, and equipment limits your actual setup requires. The example uses a 5 L container with 90% usable capacity, giving 4.5 L per container. Round up 14.256 ÷ 4.5 to get four containers.

For each packaged ingredient, subtract usable on-hand stock from required liquid volume, clamp the shortage at zero, and divide by package volume. Round up to whole packages. The example spirit needs 8,910 ml; two 750 ml bottles provide 1,500 ml, leaving 7,410 ml to buy. Ten additional 750 ml bottles cover that shortfall.

Count only stock that is available, approved, and usable. An open bottle's remaining volume is not a full bottle. The tool deliberately keeps ice, glassware, staff, and prep time out of the automatic order. Put those quantities into the checklist using reviewed event-specific assumptions.

Label the batch for the person receiving it

Record recipe name and version, batch ID, ingredient and allergen information, prepared quantity, preparation time, preparer, destination station, handling instructions, and the approved use/discard decision. Confirm sanitation, temperature control, storage, and transport with the responsible operator.

Close the loop after service: received, prepared, transferred, served, returned, and discarded. Reconcile actual yields and shortages before reusing the forecast. The purpose of the sheet is not to produce a confident number. It is to make the assumptions visible enough to correct.
